MEDICATION ADMINISTRATION
All medications must be submitted to our on-site staff before they will be administered. Staff will not accept medications from campers directly. A completed Medication Authorization Form with parent/guardian signature is required. All medications must be in their original, labelled container.
Valid pharmacy-labelled prescriptions will be administered, exactly as prescribed. OTC medications require a signed authorization form — staff will not administer without prior written consent. EpiPens and inhalers must be on file on the first day. Following any EpiPen use, 911 is called immediately and parents are notified without delay.
ILLNESS — WHEN TO KEEP YOUR CHILD HOME
Please keep your child home if they have experienced any of the following in the previous 24 hours: fever of 38°C (100.4°F) or higher; vomiting or diarrhea (2 or more episodes); conjunctivitis (pink eye) until treatment has begun; rash of unknown origin; any contagious illness such as strep or chickenpox until cleared by a physician; head lice until treated and nit-free.
If a camper becomes ill at camp, parents will be contacted immediately. Pick-up is expected within 60 minutes. In a medical emergency, 911 is called first. Campers must be fever-free and vomiting/diarrhea-free for 24 hours before returning. Absences due to illness do not qualify for a refund or credit.
ALLERGY & DIETARY RESTRICTIONS
All allergy and dietary information must be disclosed at registration. Our camp is not a certified allergen-free facility — cross-contamination is possible. We accommodate common allergens (peanuts, tree nuts, dairy, gluten, eggs) and dietary needs (vegetarian, halal, kosher). Campers with severe allergies are encouraged to bring safe alternatives from home. Please avoid sending allergen-containing products when there is an allergy in your child's group — you will be notified if this applies.
INJURY & FIRST AID
A qualified first aider is on-site at all times. Minor injuries are treated on-site and parents notified at day's end — a photo of the signed incident report will be emailed to the parent. 911 is called immediately for any serious injury, allergic reaction, or loss of consciousness. A staff member will accompany the camper to hospital until a parent arrives. Parents must sign an Emergency Medical Treatment Authorization Form at registration.
SUN SAFETY & INSECT REPELLENT
Please apply sunscreen to your child before drop-off each day and encourage them to bring a wide-brimmed hat. Staff will assist with sunscreen reapplication with written consent (see Sunscreen Consent Form). Outdoor activities are modified or moved indoors during Environment Canada Heat Warnings. Water is available at all times.
EMOTIONAL WELLBEING & MANDATORY REPORTING
Parents will be contacted if a camper's distress cannot be resolved at camp. Diagnosed mental health conditions should be disclosed at registration — all information is kept strictly confidential. All camp staff are mandatory reporters under Ontario's Child, Youth and Family Services Act, 2017. Any reasonable suspicion of abuse or neglect will be reported to the Children's Aid Society.

PREVENTION
Parents must disclose all known severe allergies at registration. An Anaphylaxis Emergency Action Plan (EAP) signed by the child's parents must be submitted before the first day. Any changes to allergy status must be communicated to the camp director immediately in writing.
Our staff reviews all camper allergy profiles before each week. Our facility is not a certified allergen-free environment — cross-contamination is possible. We ask families to avoid sending allergen-containing products if there is an allergy in that specific week's group.
EPIPEN STORAGE & ACCESS
Each camper with a known anaphylaxis risk must have at least one in-date EpiPen on file with camp staff before their first day. EpiPens are stored in a clearly labelled, accessible location and are never locked away. Staff will carry the camper's EpiPen with them whenever the group leaves the barn. Expiry dates are checked at the start of each session — expired devices will not be accepted.

Drop-off is between 9:00am- 9:30am. Please do not arrive before 9am— supervision does not begin until staff are on duty. A parent or guardian must sign the camper in on the daily attendance sheet. Please notify staff of any health concerns or medication changes at drop-off. If your child will be late or absent, please call or message the camp director at 905-320-6255. PICK-UP Pick-up is at 3:00pm. Parents and guardians must sign their child out — campers will not be released without a signature. Please bring photo ID if staff do not recognize you. Campers will only be released to parents indicated on the registration form unless written permission is given via email to hello@nourishcookingcompany.com to authorize an alternate person. If an unlisted individual arrives, the camp director will contact the parent before releasing the child. AUTHORIZED PICK-UP Complete the Emergency Contact section of the registration package before camp begins. A minimum of one authorized adult must be listed in addition to the primary parent/guardian. Changes must be submitted in writing — verbal changes cannot be accepted. LATE PICK-UP FEES Pick-up must be completed by 3:00pm. Campers not picked up by 3:15pm will incur a late fee: $10 for the first 15 minutes, plus $1 per minute for each additional minute. Late fees are invoiced and due within 7 days. Unpaid fees will affect future registration. Two or more late pick-ups in a session may result in a meeting with the camp director and, if unresolved, removal from the program without refund. If a camper has not been collected 30 minutes after pick-up and no contact has been made, staff will contact the secondary emergency contact and, if necessary, notify the appropriate authorities. EARLY & EMERGENCY PICK-UP For early pick-up, please notify the camp at drop-off or by email in advance. In any emergency, parents are expected within 60 minutes of notification. All pick-up follows the same sign-out procedure.

No cash or credit card refunds are issued for any reason, including illness, injury, or personal circumstances.
At Nourish Cooking Company, the safety of our children and families always comes first.
If a camp must be cancelled due to severe weather, poor air quality index, unsafe road conditions, power outages, or any other act of God, we will notify families by email and/or text as soon as possible.
Due to the nature of scheduling, weather-related cancellations are not eligible for make-up classes, refunds, or credits.REGISTRATION Camp fees are non-refundable and due at registration to secure your child's spot. Registration is not confirmed until payment is received. CREDIT SCHEDULE
Enrollment in a Nourish Cooking Company program reserves a limited space for your child. Registration fees allow us to secure staffing, facilities, supplies, insurance, and other program costs in advance.
All registrations are final and all fees are non-refundable.
If a participant withdraws before the program start date, the registration fee will be converted to a non-refundable account credit, valid for two (2) years from the original program start date. Credits may be applied toward any eligible Nourish Cooking Company camp, class, or program, subject to availability.
Once a program has commenced, no refunds, credits, transfers, or make-up days will be provided for absences, illness, dismissal, early withdrawal, scheduling conflicts, or any other reason.
Credits:have no cash value; may not be exchanged for a refund; and expire two (2) years from the original program start date.
Exceptions to this policy may be made only if required by applicable law.
CANCELLATIONS & TRANSFERS All cancellations must be submitted in writing to hello@nourishcookingcompany.com. The cancellation date is the date written notice is received.
CAMP-INITIATED CANCELLATIONS If Nourish cancels a session due to circumstances within our control, a full credit of all fees paid will be issued. If cancelled due to circumstances outside our control (e.g., severe weather, public health order, natural disaster), no credits or refunds will be issued.
DISMISSAL & ILLNESS No credit or refund is issued if a camper is dismissed for a serious Code of Conduct violation or for absences/withdrawals due to illness, injury, or medical reasons.

TOILET TRAINING REQUIREMENT
All campers must be fully toilet trained before attending camp. Staff are not able to assist with toileting, diaper changes, or pull-up changes under any circumstances. If a camper has an accident, parents will be contacted to bring a change of clothing or arrange early pick-up. Repeated incidents may require a conversation about whether the program is the right fit at this time.
CAMPER READINESS & INCLUSION
Campers should be able to participate in group activities with age-appropriate independence. Campers with additional support needs are welcome — please disclose relevant information at registration so we can plan appropriately. Should a camper require 1:1 support, this will be provided by the parent at the parent's expense.
EXPECTED BEHAVIOUR
Campers are expected to: treat all people with kindness and respect; follow staff instructions promptly; keep hands, feet, and objects to themselves; use inclusive, respectful language; care for camp property; stay within designated areas at all times; and report conflicts that cannot be resolved between children to staff.
UNACCEPTABLE BEHAVIOUR
General misconduct includes: defiance; deliberate disruption; profane or threatening language; leaving designated areas; property damage; use of personal devices without permission. Bullying (physical, verbal, and social) is not tolerated — each situation is assessed individually. Physical aggression is never acceptable.
IMMEDIATE DISMISSAL
Some behaviours result in immediate removal from camp without prior warning: any conduct placing someone's safety at serious risk; possession or use of weapons, alcohol, cannabis, or illegal substances; sexual conduct; serious property destruction; leaving camp grounds without permission. No credit or refund is issued upon dismissal for conduct.
DISCIPLINARY PROCESS
For most issues, staff follow a four-step graduated approach: (1) in-the-moment support; (2) director involvement and documentation; (3) parent/guardian contact and plan; (4) dismissal from the program. The camp director may move directly to any step based on severity. The director's decision is final.

WHAT WE COLLECT Camper information: full name, date of birth, medical history, allergies, medications, emergency contacts, authorized pick-up persons, custody arrangements (where disclosed), behavioural or learning needs, and incident/accident reports. Parent/guardian information: name, address, phone, email, payment information, and signed consent forms. Photos/video where consent is provided. WHY WE COLLECT IT Solely to: register campers and administer the program; ensure each camper's health, safety, and wellbeing; communicate with families; process payments; comply with legal obligations including mandatory reporting; respond to emergencies; and improve our programs. HOW WE SHARE IT Information is shared only with staff who need it. We do not sell, rent, or trade personal information. We may share with: emergency services (medical emergency); Children's Aid Society (mandatory reporting); payment processors; and our insurance provider. We may also disclose if required by law or court order. HOW WE PROTECT IT Digital records are stored on password-protected, secure cloud storage with restricted access. Payment information is processed through a secure third-party provider and is not stored on our systems. Staff are trained on confidentiality obligations annually. Records are retained for a minimum of 1 year after the camp season, then securely destroyed. PHOTOS & VIDEO Photo and video consent is collected at registration. Images may be used for internal records, marketing materials, social media, or our website. Consent may be withdrawn at any time by writing to hello@nourishcookingcompany.com." We ask families not to post photos of other campers on social media without the knowledge of their families. YOUR RIGHTS You have the right to access, correct, or withdraw consent for personal information we hold about your child. Contact us at hello@nourishcookingcompany.com. We will respond within 7 days. Complaints may be directed to the Office of the Privacy Commissioner of Canada (www.priv.gc.ca).

PHONES & SMARTPHONES Smartphones are not permitted at camp under any circumstances. If your child needs to contact you during the day, they may ask a staff member to use the camp phone. To reach your child, please contact us directly at 905-320-6255 or hello@nourishcookingcompany.com. OTHER DEVICES Personal tablets and handheld gaming devices are not permitted at camp. Smart watches with communication or camera functions follow the same rules as smartphones — basic digital or analogue watches are permitted. Personal earbuds and headphones are not permitted during program hours. Exceptions for medically necessary devices must be disclosed to the camp director at registration. PHOTOGRAPHY & RECORDING Campers may not photograph or video record other campers, staff, or the facility at any time, using any device. Any recording taken in violation will be deleted in the presence of a staff member and a parent notification will be issued. SOCIAL MEDIA We ask families to exercise care when sharing photos from camp on social media — please do not post images that clearly identify other children without the knowledge of their families. Posts that are harmful or identify another camper without consent may be treated as a behavioural matter. IF THE POLICY IS NOT FOLLOWED First instance: device collected and held at the office for the day, returned at pick-up, parent notified. Second instance: device held, camp director contacts parent, camper asked not to bring device for rest of session. Third instance or serious violation: treated under the Behaviour & Code of Conduct Policy.

OUR DEFAULT POSITION Without a court order or formal custody agreement on file, Nourish Cooking Co. treats both legal parents and guardians as having equal right to pick up the camper, receive information, and be contacted in an emergency. We cannot legally prevent a biological or legal parent from picking up their child without a court order on file — verbal or written requests from the other parent are not sufficient. PROVIDING COURT ORDERS If a court order restricts who may pick up, communicate with, or access your child, a copy must be provided to the camp director before your child's first day. Submit by email to hello@nourishcookingcompany.com. All documents are kept strictly confidential. Notify the camp director immediately of any changes during the season. PICK-UP BY RESTRICTED PERSONS Staff will calmly inform an unauthorized person they cannot collect the child and will immediately contact the camp director and custodial parent. If there is any safety concern, 911 will be called. Staff will not physically restrain anyone. COMMUNICATION & CONFLICT Both legal parents are entitled to receive information about their child unless a court order restricts this. Camp is not a venue for custody disputes. Individuals creating a safety concern will be asked to leave. Police will be called in serious situations.

LIFE-THREATENING ALLERGEN-FREE ENVIRONMENT
When a severe (anaphylactic) allergy has been documented at camp, all families in that week's group will be notified ahead of the start date and asked not to send that allergen in their child's lunch. This applies to all snacks, lunches, and food items brought from home. Please read all labels carefully — "may contain" and "processed in a facility with" warnings are treated as containing the allergen for the purposes of this policy.
While we do our best to maintain a safe environment, we cannot guarantee all products are entirely free of cross-contamination. Campers with life-threatening allergies must have an EpiPen and Emergency Action Plan on file.
ALLERGEN DISCLOSURE
All known food allergies and intolerances must be disclosed at registration. Please distinguish between a food intolerance (discomfort), a mild allergy (immune response), and a life-threatening (anaphylactic) allergy. Update the camp director immediately if anything changes. Campers with anaphylactic allergies must also complete the EpiPen Authorization & Emergency Action Plan Form.
WHAT WE ACCOMMODATE
We make reasonable efforts to accommodate: peanuts, tree nuts, dairy/lactose, eggs, gluten/wheat, soy, shellfish/fish, and sesame. We also accommodate vegetarian, vegan, halal, and kosher dietary needs where possible. Accommodation means we avoid the allergen as an ingredient in that camper's dish — it does not mean our kitchen is entirely free of that allergen.
KITCHEN PROTOCOLS
Staff review all camper allergy profiles before each week. Allergen-sensitive dishes are prepared first, using separate utensils and prep surfaces. All dishes are clearly labelled before service. Parents may contact the camp director in advance to discuss the week's menu. Families of campers with severe allergies may wish to provide a fully safe packed lunch from home.
FOOD FROM HOME
Packed lunches must comply with our allergen policy. Campers may not share food with others if there is a known allergy or sensitivity.
